How to invite a user to the company account
When adding a user to Planyard, you set their access type and permissions in a single flow. The permissions you select determine whether the user is counted as a full or limited license.
To invite a user:
- Go to Company in the top menu and select User Management.
- Click Add New User in the top right corner.
- Enter the user’s email address and select their company role from the dropdown.
- Set the user’s permissions:
Project manager or QS
Selecting any option in this section makes the user a full license user.
- Can manage own projects — Can create, edit and archive projects they own. Standard role for project managers and quantity surveyors.
- Can manage everyone’s projects — Full edit access to all company projects, as if they are the project owner.
- Lock budget — When enabled, this user cannot edit project estimates or target budgets.
Note: Full users can also have any Support user capabilities enabled in addition to their project management permissions.
Support user capabilities
Users with only options from this section selected are counted as limited license users. These capabilities apply company-wide by default and can also be configured individually per project from within the project settings.
- Can view all company projects and reports — Browse and read all projects including costs, files and reports, and access company-wide dashboards.
- Can upload invoices via Outlook, mobile and browser — Upload invoices and documents across all active projects without needing project-by-project access.
- Can configure company settings and integrations — Access to company-level settings, integrations, and general configuration.
- Can add and manage company users — Invite new users, edit roles and permissions, and deactivate users.
- Can manage company resources — Create and edit the company resource library: materials, labour rates and machinery.
- (Optional) To give the user default access across all non-confidential projects, click Configure under Default project access. Select the project-level permissions to apply globally:
- Project viewer — Can view everything in the project but cannot modify anything.
- Project document uploader — Can upload documents but cannot modify anything.
- Project RFQ manager — Can create RFQs in the project.
- Project purchase order manager — Can create purchase orders in the project.
- Permission to prepare drafts — Can prepare costs, contracts, and other documents for a project manager to confirm.
- Project payment application manager — Can prepare payment applications for a project manager to confirm.
- Project variation manager — Can prepare variations in payment applications.
- Project payment application decision maker — Can confirm and reject payment applications.
- Invoice manager — Can create and approve purchase and sales invoices.
- Timesheet approver — Can approve submitted timesheets.
- Click Add users.
The invited user will receive an email with login instructions. Once they’ve joined, you can update their permissions at any time from User Management.
